How It Works
1 - Creating A Loop: A loop is simply a "folder" that you would traditionally store important paperwork for a single transaction. On Dotloop, those documents can be created or imported into that virtual folder. By clicking the "(+)" icon on your home-screen on Dotloop, you will initiate a "Loop". Loops should be named on the address that property is connected to, the name of the loop can be changed. The address is then available to auto-fill on documents that you will later create and fill-out. If you do not have an associate property for your client, no problem! You can simply name the loop after your client. Before you click the "Create Loop" button, make note of the "Select A Template" menu. These "Loop Templates" are shortcut's that allows your loop to be "optimized", saving your 15 minutes of time! by labeling the "Loop Type" and "Adding Applicable Documents". Here are some definitions:
- ENYRMLS - Eastern NY Regional MLS (those who have joined Greater Capital Association of Realtors)
- CIREB - Commercial and Industrial Real Estate Brokerage MLS
- GCMLS - Greene, Columbia and Norther Dutchess MLS (for those that have joined Columbia Greene Board of Realtors)
- SAMLS - Southern Adirondack MLS (those who have joined Southern Adirondack Board of Realtors)
- STATUS - label the status of your loop
- Pre-Listing/Pre-Offer - use first, when your paperwork is not fully signed and the listing is not active on the MLS
- Active - when your paperwork is fully signed and the listing is live in the MLS
- VIEW DETAILS - additional information on the transaction. Once completed click the "Back To Loop" button
- Address (if applicable, including the MLS number) - will auto-populate if you add it as the "Loop title"
- Financials - many of those labels will auto-populate onto the corresponding documents
- PEOPLE - add your clients regardless if you intend to send the paperwork electronically or not. When adding more than one person, on the same side, make sure they have their own idenities (emails and full names).
- Emails - are only required if you intend to send these documents through the "Host In Person" or "Dotloop E-Sign"
- Role - a role determines what fields you and your clients can fill out and sign. Make sure you label yourself!
- ADDING DOCUMENTS - click the "Add Document', across from the designated "Folder Name". This will launch the document search window where you can find all disclosures and contracts in one spot, classified into organized folders.
- REMOVING DOCUMENTS - click on the checkbox(es) that you wish to delete from the designated folder. Chick on the "Archive" button located above the folder in a red link.
- EDITING DOCUMENTS - click on the checkbox next to the "Folder Name" to highlight all the documents at once. Click on the "Open" button located above the folder in a red link. From here you can fill out, e-sign and modify the document before you have your clients complete it. *Each document is templated and has built in security that enables either you or your client to complete.
- HOST IN PERSON - required an email for your client(s), allows the agent to switch from their account to the client's on the same computer or device. Easiest way if you bring your own device to your client meeting. Choice under the "MORE" tab, when the documents are opened.
- PRINT/DOWNLOAD - quick way to quickly download a PDF and print the documents. Can be accessible when you open the documents AND on the main loop page.
- SHARE - the convenient way to send your documents with the least amount of steps. Just choose the sender(s) and their permissions and your document will be sent to your client(s) email address. Once your client signs the documents, you will be modified by email and within the loop.
- Important Note On Permissions: always choose the "Can Sign and Fill Out" permission when sending to clients.
- Submitting Listing Side Paperwork - within 48 hours of your Listing going live on the MLS
- Submitting Offer-On-Your-Listing Paperwork - after Attorney's Approval stage
- Submitting Buyer Side Paperwork - after Attorney's Approval stage

What if I cannot find the correct/updated form on Dotloop?
- Please contact [email protected] and copy-in [email protected] with the specific form or challenge with the form. Once we receive that request, we can correct that within a few business hours.
- If you cannot alter/change/update the form that you are currently working on please make sure that you opened that document in a loop AND your role (in the "People" section) is set correctly (Listing Agent / Buyer Agent Landlord Agent etc). If those settings are checked then please notify both[email protected] and [email protected] and we will happily update that for you. In the meantime, you can manually change the permission of that signature/text field box by clicking on it and then in the upper left corner you can change who it is "assigned to".
