1 - ENTER THE LISTING: Once you add a listing into your Multiple Listing Service, that listing will syndicate to your KWLS; while also syndicating to Zillow, Trulia, Realtor.com and additional property search websites within thirty minutes. Zillow & Trulia will automatically apply your branding onto that listing displayed. Don't forget to submit the required compliance paperwork to us through Dotloop, before you enter a listing.

2 - OPTIMIZE YOUR LISTING: Enter your KWLS dashboard, this is where ALL of your listing activity is shown within the last six months (shown on the right side). To find you listing to "optimize it" you must click on the "Accepted" button located on top OR in the "Listings at a Glance" section. Once the page loads, click on the new listing's MLS number. Scroll down on the new page and click "Edit", this will unlock the listing profile, allowing you to add, remove or edit what was copied directly from the MLS; allowing you to leverage your listing! Reminder - this feed only works one way so whatever you add here will never copy back to the MLS. For more clarification, please watch the webinar below. There are TWO MUSTS to take action on in this section:
- Check the small box underneath the "Description Box" to lock out the Multiple Listing Service from overwriting your listing's description.
- Check the small box above the displayed photos, on the "Image" tab, after you "Save" the "Details" section. This will allow you to add up 30 photos total, rearrange the order and lock out the MLS from overwriting your image edits.
3 - SYNDICATION: Within 30 minutes your listing's modifications in the KWLS will update on Zillow & Trulia. Realtor.com is the only main-stream property website that will continue to only update from the Multiple Listing Service. The other property websites (including Kw.com, your branded mobile app and website) will update up to a few times each day directly from the KWLS; times do vary between each site and could take up to 12 hours. You may come back and update details as you wish, throughout the listing's active status. If you notice that it's been over 12 hours without an update please contact [email protected] OR 512.306.7191. Please note that those two small checkboxes (from #2) must be checked.
4 - MAINTENANCE:
- WHEN LISTING GOES PENDING ON THE MLS - the status will automatically change on the KWLS and the "Expiry Date" will stop at it's current date. High recommended to manually push out the Expiry Date a few month ahead in the future to allow the closing process to take place; this typically takes around 30-45 days, once Attorney's Approval is completed. Also, review to make sure that your listing is accurate in the KWLS. You are also encouraged to complete your Greensheet, via Dotloop, between Attorney's Approval and the Inspection. Once the Greensheet is submitted, your listing in the KWLS will automatically switch to "Sold". Do not worry, this is normal and the KWLS WILL NOT disclose the sold price until after closing to anyone outside your eEdge System.
- WHEN LISTING IS SOLD ON THE MLS - if you have not completed a Greensheet, do so. That will automatically trigger the listing on the KWLS to move from "Pending" to "Sold".
- IF YOUR LISTING EXPIRES, WITHOUT RENEWAL - once your listing expires in the MLS, make sure the status is set to "Expired" in the KWLS.
- IF YOUR LISTING EXPIRES, WITH RENEWAL - as soon as your expiring listing in the MLS, make sure the status is set to "Expired" in the KWLS. Once your new listing populates in the MLS, make sure you "Optimize" it, as if it were a new listing inside the KWLS. For reference, please see #2 above. This will avoid the KWLS getting confused and potentially syndicating out the wrong details.
- IF YOU LISTING WITHDRAWS BEFORE EXPIRATION DATE - as soon as you withdraw the listing on the MLS, enter the KWLS and do the same action. Make sure the status is set to "Withdraw".

- Yes, contact [email protected] & [email protected] once you make your first KW listing live on the MLS. There may be an additional 12 - 24 hour delay from your listing showing on your KWLS Dashboard. Please make sure you advise your client(s) - this will only occur for your first listing. Your listing WILL post on the various third party websites (Zillow, Trulia Realtor.com etc) in the meantime from the MLS until you optimize it in the KWLS.
- You can expect your listing to enter the KWLS within 12 hours or less. We encourage that you launch your listings before 9am or 6pm, because the KWLS copies from the MLS at least twice daily. If your listing has not syndicated and it's been over 24 hours, please contact KW Support at 512-306-7191 or [email protected] for a solution. Please note that if this is your first listing with KW, reach out to [email protected] or [email protected] first.
- After your listing has been "Optimized" (see step #2 above for those instructions), the KWLS will update to our syndication partners within 30 minutes, while other websites may take longer, as much as 12 hours to update depending on their scheduled update times.
- Yes, the KWLS copies from the MLS at first, before you "optimize" your listing. After you optimize that listing in the KWLS; only the price and status will update from the MLS.
- Never! The KWLS only syndicates to the buyer-centric websites (like Trulia and Zillow) and does not update anything on the MLS.
- The KWLS updates from the MLS twice a day (around 6-9pm & 2-4am). These times are scheduled to be more frequent as we continue to update our tools. If you intend to have this listing on all of our syndication websites then it is highly recommended that you make your listing live on the MLS before those time periods. This will ensure that your listing will fall into the KWLS the next morning or late afternoon.
- If you listing details have not updated on that property website (and it's been more than 24 hours) contact [email protected] for next step instructions OR for more immediate assistance contact KW Support at 512.306.7191. If your listing is not supportive on Zillow contact [email protected] with the MLS number, property address and the specific challenge that is occurring.
- This may occur if you have not "Optimized Your Listing" or manually changed your expiry date on that listing. Remember that you DO NOT need to change the expiry date, it pushes out each day as long as your listing is ACTIVE. To change the status; go into the affected listing, scroll down on that page and click the EDIT button. Change the EXPIRY date to 5 months in the future, scroll down and click SAVE. Once the page is refreshed scroll down again to the EDIT button and now go to STATUS and change it to your desired status label (active or under contract).
